# WhatsApp

> Connect WhatsApp to send receipts and invoices to ClearSpend from your phone.

Connect **WhatsApp** to send **receipts and invoices** from your phone. ClearSpend adds them as supporting documents for charges you already have.

Open **Integrations** and connect from the **WhatsApp** card.

  **WhatsApp collects proof only.** It does **not** create transactions or subscriptions. Pair it with [Plaid](/connect/connect-your-bank), [Xero](/connect/xero), or a [statement upload](/connect/data-sources#import-transactions-menu) for spend data.

## Connect WhatsApp

Connect from **Integrations**. **Owners**, **Admins**, and **Contributors** can connect. See [Roles and permissions](/reference/roles-permissions).

    In the sidebar, go to **Integrations**.

  <Step title="Open the WhatsApp card">
    Find the **WhatsApp** card under **Receipts & Invoices** and click **Connect**.

  <Step title="Scan the QR code">
    Scan the QR code. WhatsApp opens with a short connect message already filled in. Tap **Send**. You do not need to type your phone number.
  </Step>

  <Step title="Or connect without scanning">
    Open WhatsApp and send the message shown in the drawer (for example `join abcd1234`) to the ClearSpend number listed there. The link expires in about 24 hours. Use **Refresh** if you need a new one.

  <Step title="Wait for confirmation">
    ClearSpend replies when the number is connected. The WhatsApp card on **Integrations** then shows as connected.

To add another number, click **Connect** again and repeat with a different WhatsApp account.

## How WhatsApp works

Once a number is connected:

1. You send a receipt or invoice as an **attachment** in WhatsApp.
2. ClearSpend matches the sender number to your workspace.
3. The file lands in **[Documents](/features/documents)** and ClearSpend tries to match it to a charge.

Only attachments are imported. Text-only messages are skipped. Duplicates are ignored so the same file is not added twice.

## What you can send

Use WhatsApp to send **receipts and invoices** from your phone. ClearSpend stores them as proof and tries to match them to charges you already have.

WhatsApp does **not**:

* Create transactions or subscriptions
* Add spend to your dashboard totals
* Parse bank or card **statements** into charges

Supported attachments include **PDF** and **PNG**.

  Send invoices and receipts only. For statement spend, use [Upload statement](/connect/data-sources#import-transactions-menu) or [Plaid](/connect/connect-your-bank).

## Numbers and workspaces

| One number, one workspace   | Each WhatsApp number can connect to **only one** ClearSpend organization at a time |
| Many numbers, one workspace | One organization can connect **multiple different** WhatsApp numbers               |

If a number is already linked to another workspace, disconnect it there before connecting it here.

## Common questions

    No. WhatsApp only collects invoice and receipt documents so you can match them to charges from Plaid, Xero, or a statement upload.

  <Accordion title="Can I connect the same number to two workspaces?">
    No. One WhatsApp number can belong to only one ClearSpend organization at a time. You can still connect several different numbers to the same organization.

  <Accordion title="What if the QR code expired?">
    Open the WhatsApp connect drawer again and click **Refresh**, then send the new message.

  <Accordion title="I sent a file but nothing appeared">
    Confirm you sent an attachment (not text only), the number is connected on **Integrations**, and the file type is supported. Then check **[Documents](/features/documents)**.

## Disconnect

On **Integrations**, expand the **WhatsApp** card and disconnect the number. Documents already imported stay in your workspace.
