# Filters, export & archive

> Narrow the list, download reports, and archive or delete charges.

Filters, search, and export all respect the **current view** of the list.

## Find charges

| Filter               | What it does                               |
| -------------------- | ------------------------------------------ |
| **Reconcile**        | All, reconciled only, or unreconciled only |
| **Owner**            | Charges for a specific owner               |
| **Type**             | SaaS or Non-SaaS                           |
| **Transaction date** | Charges in a date range                    |
| **Archived**         | Hide archived (default) or show them       |

Use the **search** bar for vendor or description. **Sort** any sortable column. Show or hide columns with the column picker. Pagination controls how many rows appear per page.

## Export

Click **Export** to download the filtered view.

### ClearSpend CSV

Default format — matches the table: vendor, amounts, dates, owner, reconcile status, and file links.

### Xero bank statement

Choose **Xero — bank statement import** for a CSV shaped for Xero (date, amount, payee, description, reference, currency). ClearSpend does not post to Xero — you import the file yourself. See [Xero](/connect/xero#export-to-xero-format).

### Export with invoices (zip)

On the ClearSpend format, choose **Export with invoices (zip)** for the CSV plus linked invoice and receipt files. Not available for the Xero format.

## Archive and delete

| Action      | Where                                          | Effect                                                                     |
| ----------- | ---------------------------------------------- | -------------------------------------------------------------------------- |
| **Archive** | Select rows → **Archive**                      | Hides from the default list; charge stays so a resync does not recreate it |
| **Delete**  | **⋮ → Delete transaction**, or bulk **Delete** | Removes the charge; a later sync may bring it back                         |

Use **Archived → Show archived** in Filters to see archived charges. Archive is for charges you are done with but want to keep on record. Delete is when you want the row removed entirely.
