ClearSpend brings in transactions, finds invoices and receipts, and matches them. You review only what could not be matched with confidence. Transactions come from connected cards, Xero, QuickBooks, or uploaded card statements. Documents come from Gmail, Google Drive, Slack, and direct uploads. Dashboard totals use transactions, not invoices alone.

Where data comes from

Request missing documents

If a transaction has no matching invoice, ClearSpend can ask the owner to upload it. They get a link, upload the file in the browser, and never need a ClearSpend account. Start that from Transactions → Request invoices. The link they receive is the public upload page.

The Import transactions button (top-right) is the shortcut for uploads and manual rows.

What each layer contributes

  • Transactions — what was paid. From cards, statements, Xero, or QuickBooks. These drive matching, dashboard totals, and reconciliation.
  • Documents — invoices and receipts. From Gmail, Drive, Slack, and uploads. They are proof; they do not add spend on their own.
  • Review — only the matches ClearSpend is not sure about.
  • Subscriptions — ownership and upcoming renewals, after spend is in the workspace.

Quick decision guide

Connect at least one transaction source (Plaid, Xero, QuickBooks, or a statement upload) before relying on invoice uploads alone. See Choosing integrations if you are unsure which connection to add first.
