Editing a subscription - ClearSpend AI

Open ⋮ on any row in Subscriptions and click Edit.

Edit subscription modal — Edit subscription: update owner, status, department, billing cycle, next billing date, and category.

What you can edit

Field	What it does
Owner	Who is responsible for this subscription
Status	Active or Inactive
Department	Team label for spend reporting
Billing Cycle	Monthly, Quarterly, Semi-Annually, Yearly, or One-time
Next Billing	Date used for renewal alerts
Category	How the subscription is classified

Click Update Subscription to save, or Cancel to leave without saving. Contributors and above can edit. Viewers cannot. Contributor is the same role as Member.

When you cannot update

You can only edit a subscription if it has a transaction in the last 3 months. If the last transaction is older than 3 months, you can open Edit, but Update subscription stays disabled.

Something wrong?

Symptom	What to do
Update subscription is greyed out	Last transaction is older than 3 months. Import a recent charge or wait for a sync
Edit option not visible	You may have Viewer role. Ask an Admin to change it
Category change not on the dashboard	Wait a few seconds, then refresh
